CICA Board of Director's Meeting—Minutes

March 20, 2001


The meeting began at 7:30 p.m. at the Ullman’s.


BOARD OF DIRECTORS PRESENT: Barbara Barr, Dave Byler, Andrea Gilde, Rob Green, Ken Knapp, Verne Orndorff, Mike Szep, Sr., Dick Ullman, Jim Weber, Art Wood.


ABSENT:  Tom Cobley, Harry Hite


Committee Members & Guests Present: Les Fritz, Bill Dryden, and Glenn Culler



            Correspondence Report: There was no correspondence sent or received.


SECRETARY’S REPORT:  The minutes from the February 20th meeting were accepted as written.


TREASURER’S REPORT:  The monthly report was approved as submitted.


COMMITTEE REPORTS:  (Contributor’s name and/or committee chairperson’s name shown in parentheses following report.)


Architectural Review: No report given  (Barry Miller)


Beach:  Purchased template for design on shuffleboard court, at a cost of $75.  The Knapp’s have donated a Purple Martin birdhouse for the beach.  Jetties are completed and appear to be accumulating sand.  Some reseeding needs to be done.  (Jim Abel)


Email & Website:  Pictures of jetty under construction are on the website.  Any other appropriate pictures (any aspect of Chesapeake Isle) will be displayed.   (John Reber)


Erosion: No report given  (John Bates)


4th of July –A planning meeting will be held on May 21st.  A major question to be decided is whether to have the celebration on the 4th, which is a Wednesday, or to have it on the weekend.  (Tom Cobley)


Grass Mowing: 3 still have not paid…a letter will be sent out.  This year’s bills will be going out soon.  Fees for one or two unusually large lots will be going up. (Dick Ullman)


Harbor:  Mooring inspection date this Saturday.  Over 70 moorings have been reserved.  Gallon sized bleach bottles are needed if anyone has any to donate.  A community member who is active in the Coast Guard auxiliary has offered to inspect boats (free of charge).  A date will be posted.  Possibilities are being explored for kayak and canoe storage.  (Bill Dryden)

Legal: Nothing to report (Dave Byler)


Maintenance:  Opened up the marsh area for drainage. (John Bates)


Membership:  181 paid members…running 7 days ahead of last year.  New paid member’s list is to be posted.  New directory covers to be purchased.  Some new directories and guidebooks are to be printed, as needed..   (Les Fritz)


Newsletter:  4th of July article ready, president’s report, shuffleboard rules & guidelines needed.  Sign design course, CPR course…dates and info are needed on all these items.  (Les Fritz)


Pavilion: 6 rentals are already booked.  Money for pavilion rental should be collected right away.  The permit for the pavilion rental states that the pavilion can only be rented once per year by each member.  Is it necessary to still have that rule?  The pavilion chair person will be approached.


Roads:  We had a light winter, with only 2 or 3 snow events to be plowed.  Road maintenance and repairs will start soon.  Some narrowing of roads is needed. (Glenn Culler)


Social:  Progressive dinner went well with thanks to all hostesses…some people had to be turned away due to their response after the cut off date.  The committee will be meeting soon to discuss Easter Egg hunt, Spring Dinner, Ladies Brunch, Spring Clean Up.(Sue Seeley)


Town Watch:  New schedule out, covering until June.  (Jim Weber)


Tractor:  New tractor policy to be discussed under old business.  We received a letter from S. G. Lewis in response to our letter…they listed explanations to all charges.  Art Wood called and spoke with Jay Dudkewicz.  They feel that all the charges are legitimate.  They offered to settle for half, but this was not agreed to by CICA.  The New Holland company believes that we should work this out with the dealer and is not giving us any support.  (Marty Smith)





TRACTOR POLICY:  A draft policy was discussed.  The policy needs to go back to committee to be refined


CPR Course to be tabled until the fall


CICA Community Entrance Sign Contest:  Rules & guidelines will be published in the newsletter.




      Insurance:  Are officers and directors covered under our current insurance?   Our agent thinks we have adequate coverage for all members, officers, employees, and volunteers. 


      Committee Chairpersons should start thinking about budgets for next year, as well as nominations for new board members and officers for next year. 


CLOSE OF BUSINESS:  The next meeting will be held on Wednesday, 4/25/01 at 7:30 p.m. at the pavilion.


Having no further business to discuss, the meeting was adjourned at 9:30 p.m.
